Privacy Policy

Effective date: 25 August 2026. This policy explains what personal data EstateMarshal collects, why, how long we keep it, and your choices. It is written in plain English on purpose.

1. Who is responsible

EstateMarshal is a private research service operated by Inshal Mesiya. Contact: [email protected], or by post at 156 Whitehead Avenue, Sayreville, NJ 08872. We are not affiliated with any government agency.

2. What we collect and why

• Customer account and contact data (name, firm, professional role, business email, business address, phone if you give it): to provide the service, invoice, and correspond with you.
• Case data you supply about a deceased person (names including maiden and prior names, dates, places of residence, date of death, and any notes you include): to run the search and produce the report you ordered. We never collect Social Security numbers and our forms have no field for them.
• Report contents (what public records showed, and our scoring of matches): to deliver the report and, if you have a re-check subscription, to compare later results.
• Website and email logs (IP address, browser type, pages visited, timestamps; email delivery events): to keep the service secure and working. We use cookieless analytics from our hosting provider that does not track you across sites.
• Correspondence with us, including emails to [email protected]: to respond and keep a record.

We collect only what you give us or what your browser sends. We do not buy data about you, and we do not build profiles of the people named in case data beyond the report itself.

3. What we do not do

We do not sell personal data. We do not share case data with anyone except the service providers listed below and the Customer who supplied it. We do not contact owners, heirs, executors or personal representatives. We do not use case data to train models or for any purpose other than producing and, where subscribed, re-running the report.

4. Where data is processed and who helps us

Our servers are hosted in Germany (Contabo GmbH). Cloudflare (United States) provides network security, DNS and cookieless web analytics. Hostinger provides our email service. Encrypted backups are stored with Cloudflare R2 (United States). Each provider processes data only to provide its service to us. If you are outside these countries, your data is transferred to them when you use the service.

5. How long we keep data

• Case data and reports: deleted 90 days after the case is closed, unless you hold an active re-check subscription for that case, in which case they are kept for the subscription and deleted 90 days after it ends.
• Customer account and invoicing data: for as long as you have an account, and afterwards as long as tax and accounting law requires (generally seven years for invoices).
• Logs: 90 days.
• Correspondence: three years.
• Encrypted backups: rotated on a 14-day (daily) and 56-day (weekly) schedule; data deleted from live systems ages out of backups on that schedule.

6. Security

Data in transit is encrypted (HTTPS, TLS for email). Production systems are access-controlled; automated agents that help build the service cannot read production case data or secrets. Backups are encrypted before leaving our server. No system is perfectly secure; if we learn of a breach affecting your data we will tell you without undue delay.

7. Your choices and rights

You can ask us to access, correct, or delete personal data we hold about you or that you supplied, and we will act within 30 days unless a legal duty requires us to keep it. Customers can close their account at any time. California residents have rights under the California Consumer Privacy Act to know, delete and correct personal information and to not be discriminated against for exercising those rights; we do not sell or share personal information for cross-context advertising. Deceased persons' data is handled as case data under section 5. To exercise any right, email [email protected].

8. Children

The service is for professional advisors and is not directed at anyone under 18. We do not knowingly collect data from children.

9. Changes

We may update this policy; the effective date changes when we do, and material changes are notified to Customers by email before they take effect.
